Position Summary

Spire is seeking an Operations Manager in our Austin office to support all of Spire’s essential business operations functions. The Operations Manager assists with continuous improvement across the firms’ people, processes and systems, and supports various Spire leaders with strategic project management. The Operations Manager will also perform duties across Operations, Accounting/Finance, IT, Human Resources, and Facilities Management functions of the firm, and manage full-time and part-time staff as needed, as well as relationships with clients, vendors and independent contractors. Must be able to prioritize, multi-task, and function effectively and independently in a fast-paced environment while demonstrating a “can do” attitude.

Responsibilities

Operations Excellence

  • Support Spire managers with internal strategic project management
  • Assist in developing and deploying company programs, policies, and procedures across all departments
  • Standardize and optimize processes for scalability, and collaborate with other departments to facilitate desired outcomes
  • Assist Managing Principal and senior management with facilitation of Spire’s strategic planning process, presentations and company events
  • Identify, define and track KPI’s that drive company efficiency, profitability and goals that align with firm’s objectives
  • Develop and produce operations reporting packages for other departments

Information Technology

  • Administer and manage current technology platforms, facilitate feature rollouts, training and provide general support
  • Onboard new employees onto day-to-day systems
  • Research emerging technology tools, prepare implementation proposals and other recommendations
  • Provide basic IT support as needed
  • Coordinate IT-related items with outside contractor as directed

Client Services Support

  • Own client onboarding, project setup and closeout
  • Provide project-related reporting and analysis
  • Produce and distribute invoices, assist with client payment questions and accounts receivable
  • Prepare company deposits and process payments

Business Administration

  • Nurture relationships with current vendors, holding regular business reviews and managing contracts
  • Identify and pursue new vendors to support scaling the business
  • Track company expenses and produce expense reports
  • Manage portfolio of minority business certifications, licenses, and insurance applications and renewals
  • Serve as main point of contact for office building management at all Spire office locations – coordinating building access, maintenance requests, and relaying announcements to employees
  • Support facility management strategy and space planning

Education/Qualifications

  • Bachelor’s degree in business; MBA preferred
  • Minimum five (5) years’ experience in operations and/or project management, preferably in consulting and/or professional services
  • Salesforce Admin Certified strongly preferred
  • Experience with scaling companies highly desirable
  • PMP or CAPM preferred

Technical Skills

  • Proficiency in Microsoft Office Suite (Excel, PowerPoint and SharePoint especially)
  • Proficiency in PSA tool administration (BigTime PSA preferred)
  • Proficiency Salesforce administration
  • Proficiency in Quickbooks
