Spire is seeking an Executive Assistant in our Austin office. The Executive Assistant will report to the Managing Principal and work closely with the leadership team. This candidate will provide high-level administrative support to company Executives by conducting research, preparing reports, handling confidential information, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, coordinating travel plans, and scheduling meetings for the Managing Principal and the leadership team.

The Executive Assistant must be able to prioritize, multi-task, and function effectively as part of a team under multiple deadlines and time constraints, and manage time efficiently in a high-pressure, fast-paced environment while demonstrating a “can do” attitude. We are looking for an energetic, quick learning, and motivated candidate.


  • Prepare and edit correspondence, communications, presentations and other documents
  • Manage and maintain Executives’ schedules, appointments and travel arrangements
  • Arrange and coordinate meetings and events
  • Manage Executives’ expense reports
  • Manage weekly credit card reconciliation
  • Manage and maintain sales opportunities using CRM
  • Answer phone calls and direct calls to appropriate parties or take messages
  • Record, transcribe and distribute meeting minutes
  • Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution
  • Perform general office duties such as ordering supplies and maintaining records management database systems
  • Open, sort and distribute incoming correspondence, including voicemails and email
  • Support account management initiatives
  • Participate in the production and dissemination of client presentations and materials
  • Liaise with internal staff at all levels


  • Strong command of English grammar as well as excellent verbal communication skills
  • Excellent organizational, file management, and time management skills to effectively meet and stay ahead of multiple deadlines
  • Ability to identify, separate and prioritize work tasks
  • Ability to work flexible hours as needed or required by deadlines
  • Proven demonstrated attention to detail and commitment to producing high-quality work



  • High school diploma
  • Associate’s or Bachelor’s preferred
  • 3-5 years of administrative experience with client interactions
  • Proficient computer skills and in-depth knowledge of relevant Microsoft products – Word, Excel, PowerPoint
  • Experience working with B2B and/or Professional Services firm
  • Excellent organizational, oral, and written communication skills
  • Ability to work independently with minimal oversight and collaborate with a group
